As an Administrative Assistant III based in Los Angeles, you will be responsible for supporting the needs of 2-3 Directors/Senior Managers and the core product development and management team.  This role will be part of a new department focused on creating and supporting digital service solutions for our end clients. The ideal candidate must be positive with a can-do attitude, exceedingly well-organized, have strong multitasking skills, enjoy the administrative challenges of supporting a fast-paced department, and have a strong inclination to work in a team-oriented environment. 


  • Calendar management, scheduling/coordination of details for meetings with internal and external contacts
  • Managing travel arrangements and completing and tracking expense reports
  • Onboarding new associates 
  • Scheduling interviews and team events  for the department
  • Organization and maintenance of information that may be sensitive, confidential or technical in nature
  • Exercising good judgment to effectively manage multiple projects with shifting priorities
  • Attending and participating in designated calls and meetings
  • Distributing, collecting, and tracking documents and documenting processes
  • Producing general correspondence, reports and presentations
  • Periodic special projects to help support the product, marketing and engineering efforts  
  • Minimum of 7+ years of previous administrative experience in a corporate environment, supporting at least one senior executive
  • Previous experience in financial services strongly preferred
  • Strong accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Ability to organize and prioritize multiple tasks in a timely manner
  • Proficiency in Windows, including Word, Outlook and PowerPoint
  • Proven ability to review data and create and maintain charts in Excel
  • Experience with electronic calendaring (Outlook)
  • Experience working across mulitiple time zones a plus
  • Knowledge of SharePoint and OneNote
