The Executive Assistant will be responsible for supporting the needs of senior project managers. The ideal candidate must be exceedingly well-organized, have strong multitasking skills, enjoy the administrative challenges of supporting a fast-paced department, and have a strong inclination to work in a team-oriented environment. Attention to detail is as important as keeping an eye on the big picture, as is the ability to balance the two perspectives. Forward-thinking individuals will excel in this role if they can anticipate the daily needs of management and identify opportunities to improve work processes for themselves and the department.

 

Skills Required

  • Coordinating and scheduling complex meetings and events involving participants in multiple locations, compiling meeting agendas, reserving meeting space and arranging all details
  • Scheduling/coordination of details for meetings with internal and external contacts
  • Managing travel arrangements
  • Completing and tracking expense reports
  • Organization and maintenance of information that may be sensitive, confidential or technical in nature
  • Exercising good judgment to effectively manage multiple projects with shifting priorities
  • File management
  • Distributing, collecting, and tracking documents and documenting processes producing general correspondence, reports and presentations
  • The Administrative Assistant may work on special projects and perform additional responsibilities as assigned. The associate works independently, referring questions/clarifications to managers or other appropriate resources
     
     
    Qualifications
  • 5+ years of previous Administrative Assistant or Executive Assistant experience in a corporate environment, supporting at least one senior executive
  • Strong accuracy and attention to detail, with ability to organize and prioritize multiple tasks in a timely manner
  • Excellent verbal and written communication skills
  • A desire and demonstrated ability to learn new technologies and leverage opportunities for process improvements
  • Displays intellectual curiosity, analytical skills, critical thinking and sound judgment in problem resolution of moderate complexity
  • Proficiency in Microsoft, including Word, Outlook and PowerPoint.
  • Proven ability to review data and create and maintain charts in Excel is a plus.
  • Experience with electronic calendaring (Outlook)
  • Knowledge of SharePoint and OneNote is a plus
  • Demonstrates attention to detail with ongoing initiatives in the project office, such as coordinating, reviewing and submitting dashboard reports to Leadership
  • Checking manager(s) calendar regularly for coordination of room logistics, WebEx, catering, and, ensures calendar is clean with no double-bookings
  • Scheduling complex meetings regularly for managers and demonstrating a keen sense of negotiation skills with other admins for high level (Leadership) meetings
  • Leverages opportunities for improvements with administrative processes and procedures
  • Supports the planning and execution of project office special events and workshops
  • Demonstrates initiative and attention to detail when participating in special projects and learning new technologies
  • Input, review, finalize and submission of expense reports
  • Coordinating and booking of travel
