As an Experiential Events Specialist and a member of the Conferences & Events team within Marketing, you will create the channel’s strategy, drive innovation, and lead the planning and coordination for all internally-hosted client-facing meetings and events (including advisor forums) for Capital Group’s North American Distribution division. You will manage individual event budgets, select and manage agency and vendor relationships, and travel as necessary to meetings/events to ensure Capital Group’s brand image is well represented in the best way possible to our partners and clients.

 

Key Responsibilities:

  • Handle all event logistics including venue management and liaising, food and beverage requirements, meeting room set ups, fabrications, travel and accommodations, required staffing and promo items
  • Oversee all production, audio visual and technical aspects of events 
  • Monitor industry trends, competitive landscape, social media, and device landscape to inform and inspire the development of new event experiences and activations
  • Serve as day-to-day point of contact from start to finish (i.e. managing relationships and communication with key stakeholders, internal business partners and vendors) 
  • Develop project plan, production schedule and project budget 
  • Translate creative ideas into project plans and deliverables. 
  • Manage and execute multi-channel projects that include live experiential events, video production and social and digital customer journeys 
  • Collaborate cross-functionally to identify opportunities to integrate experiential marketing and the appropriate strategies for implementation 
  • Partner with Marketing Strategy, Product Management and Sales teams to implement segmentation strategies to ensure that we are reaching and connecting with priority audiences. 
  • Lead integration and collaborate closely with partners to create connections between experiential initiatives and sales, Pods and functional groups – digital, social media, and PR and partner to deliver highest quality experiences
  • Develop promotional strategies that optimize each event investment (pre-event and post-event follow up strategies). 
  • Coordinate with internal design team department for all needed environmental, content and graphic elements within event and with Marketing pods for agenda setting, content creation, review and delivery
  • Draft and source estimates, manage vendor budgets within scope; provide cost oversight to ensure cost management & proper due diligence
  • Manage data collection and performance tracking; provide ongoing analysis and optimization recommendations. 
  • Participates in process design and change management for the development, introduction and implementation of improved processes.

Key Qualifications:

  • A minimum of 5-7 years of experience managing large and complex meetings and events, coordinating across internal and external stakeholders, vendors and clients
  • Robust project management and coordination capabilities
  • Demonstrated experience with communicating and presenting project plans to key stakeholders from the Coordinator- to Executive- level within an organization.
  • Demonstrates initiative by identifying issues and recommending solutions
  • Meaningful experience with plan processes and work across broad, diverse groups to ensure work is completed in a timely manner
  • Demonstrates sound judgment in resolving matters of moderate complexity
  • Effective written and oral communication skills with team members and managers
  • Ability to collaborate and develop and maintain working relationships inside and outside the organization
  • A completed bachelor’s degree in Business, Marketing, Communications or related field preferred
